Privacy Policy

Last updated: 27 October 2026

This policy explains what information Educai collects, why, and the choices you have about it. It covers the Educai website and dashboard.

1. Who we are

Educai (“Educai”, “we”, “us”) operates a study-abroad guidance platform at this website and dashboard. We help students research countries, universities and scholarships, prepare application documents, and track visa and accommodation steps.

[Placeholder — to be completed by the operator] The formal registered entity name, business registration number, and governing jurisdiction for Educai have not been confirmed in this draft and are left for the operator to supply before publication.

You can reach us at hello@educai.com or House 12, Road 5, Dhanmondi, Dhaka 1205, Bangladesh — the same contact details published on our Contact page.

2. Information you give us

When you create an account and use Educai, you may give us:

  • Account details — your name and email address, and, if you sign in with Google or GitHub, the basic profile information that provider shares with us.
  • Student profile — academic background, test scores, study-level and destination preferences, and other details you enter to get matches.
  • Saved items — the universities, scholarships, visa guides, accommodation listings and jobs you bookmark.
  • Documents you upload — certificates, transcripts and test-score reports, stored as files and (where relevant) their extracted text.
  • User-generated content — statements of purpose, journal entries and notes you write in the SOP builder and journals.
  • Messages you send us — through the contact form, a counselor request, or a newsletter sign-up (which uses double opt-in — nothing is sent until you confirm).

3. Information collected automatically

Signing in sets a session cookie so the dashboard knows you are logged in; see our Cookie Policy for details. Like most web services, our servers generate ordinary technical logs (timestamps, request paths, error traces) needed to operate and secure the platform.

When you submit the contact form or a counselor question, we store a one-way cryptographic hash of your IP address (not the address itself) to help us detect abuse — it cannot be reversed back into an IP address.

As of this policy's date, Educai does not use third-party analytics, advertising or behavioural-tracking cookies. If that changes, this policy and our Cookie Policy will be updated first.

4. Why we use it

We use the information above to:

  • create and run your account, and show your saved profile, bookmarks, documents, SOPs and journals back to you;
  • generate university, scholarship and program matches, and other recommendations you request;
  • send account emails — email verification, password reset, and (if you asked for them) newsletter or counselor-reply emails — through our email provider, Resend;
  • respond to messages sent through our contact and counselor forms;
  • maintain security, prevent abuse, and enforce reasonable rate limits; and
  • maintain and improve the service.

5. AI-powered features

University and scholarship matching, statement-of-purpose assistance, and the counselor chat are powered by Educai's own AI engine. To generate a result, that engine sends the relevant profile, document or question text to a large-language-model provider — currently this includes Anthropic and OpenAI — under that provider's own data-handling terms. Uploaded documents may be scanned before processing.

Match percentages, recommendations and AI-drafted text are generated outputs, not verified facts or official decisions. See our Terms for how to treat them.

6. When we share information

We do not sell your personal information, and we do not share it for third-party advertising. We do share it with:

  • Infrastructure providers — our database host, and S3-compatible object storage for uploaded documents.
  • AI providers — Anthropic and OpenAI, as described above, to generate matches and AI-assisted drafts.
  • Email provider — Resend, to deliver account and transactional emails.
  • A counselor or helper you choose to connect with — only the information needed for that conversation, and only if you start it.
  • Authorities, where we are required to by law.

University, scholarship, visa and cost-of-living information shown on Educai is sourced from public datasets and institutions (such as public education registries and government data) — this is public reference data we display to you, not information about you that we send to those sources.

A testimonial or success story is only published with your explicit consent, and never with your private account details attached beyond what you approved.

7. Storage, security & retention

Your account and profile data is stored in a managed database, and uploaded documents in S3-compatible object storage; access is protected by authentication and is not public. Generated AI outputs are kept for a limited period (currently 30 days) before being cleared.

[Placeholder] We have not set out a specific retention period for account data, documents, journals and SOPs beyond “while your account is active” — the operator should confirm a concrete retention and backup-deletion timetable before this policy is finalised. No method of storage or transmission is 100% secure, and we cannot guarantee absolute security.

8. International transfers

Because our infrastructure and AI providers may operate outside Bangladesh, your information may be processed in other countries, which may have different data-protection laws than your own.

[Placeholder] The specific countries/regions where our hosting and AI providers process data have not been confirmed for this policy and should be added once the operator finalises its infrastructure providers.

9. Your rights

Depending on where you live, you may have the right to:

  • access, correct or export the personal information in your profile;
  • request deletion of your account and associated data (see below);
  • unsubscribe from the newsletter at any time, using the link in any newsletter email; and
  • withdraw consent for a published success story or testimonial.

To exercise any of these, contact us at hello@educai.com.

We have not formally certified this service against any specific privacy framework (for example GDPR). This section describes the rights we offer in practice; it is not a compliance certification.

10. Deleting your account

You can request account deletion by emailing hello@educai.com (or from account settings, if that option is available to you). Once a deletion is confirmed, your account and the related profile, documents, journals, SOPs, bookmarks and uploaded files are deleted, including the corresponding files in object storage.

[Placeholder] The exact turnaround time for a deletion request to fully complete has not been fixed in this draft — the operator should state a concrete window (for example, “within 30 days”) once confirmed operationally.

11. Children's privacy

Educai is built for students preparing for higher education abroad and is not directed at children. We do not knowingly collect personal information from children under 13.

[Placeholder] Since Educai serves students from Bangladesh and other countries, the exact minimum age and any required guardian-consent process should be confirmed against the laws of each market we actively serve before this section is finalised.

12. Changes & contact

We may update this policy as the product changes. We will update the “Last updated” date above, and, for material changes, make a reasonable effort to notify you (for example by email or an in-app notice).
